NOTE: The U.S. Department of Education must review and approve all proposed international travel plans. Do not purchase air tickets or make other binding commitments without approval if you intend to use federal funds. The U.S. Department of Education does not make retroactive approvals.  Requests to spend federal funds on international travel must be submitted to the U.S. Department of Education at least 30 days before the date of travel. Contact Aleia McCord (aleia.mccord@wisc.edu) at least 45 days in advance of travel to allow time for the preparation of the travel approval request.

How to use your support

Air ticketing

Once your conference travel has been approved, the African Studies Program will issue you a GROUP TRAVEL NUMBER to be used when making travel arrangements with Fox World Travel, the required travel agent of the University. (All airline reservations initiated by University employees – for either employee or non-employee travel – must be made with Fox World Travel.) The GROUP TRAVEL NUMBER indicates to Fox World Travel that your air ticket  should be billed directly to the African Studies Program.

If the air ticket price exceeds the $500, you must cover the balance. If you have other funds to cover this balance, you can arrange reimbursement through your home department. PLEASE DO NOT BOOK TICKET UNTIL YOUR TRAVEL IS APPROVED AND YOU ARE ISSUED THE ASP GROUP TRAVEL NUMBER. You will receive detailed instructions on how to book your travel when your request is approved.
